What to put on a GST/HST invoice in Canada
If your business is registered for GST/HST and charges tax, your invoice has to show the tax clearly. The details the buyer needs depend on the invoice total.
Show the tax clearly
- Say whether GST/HST is included in the price or added to it.
- Show the total GST/HST payable, or the total rate. For HST, show the total HST rate, not the federal and provincial parts separately.
- The CRA explains these rules on its charge and collect page.
What a buyer needs to claim an input tax credit
- Under $100: the supplier name, the invoice date and the total.
- From $100 to $499.99: add the supplier's GST/HST registration number and the tax indication.
- From $500: add the buyer's name, a description of the goods or services, and the payment terms.
- Check the current chart on the CRA's documentary requirements page, since these amounts can change.
Keep the records
- Keep invoices for six years after the end of the last year they relate to, or longer if the CRA asks. The books and records guide sets this out.
The RichScripts invoice generator puts these fields on a clean PDF. The PDF download costs US$1. Check the totals and tax lines against your own rates before you send it.
