Check the workspace before resending a fax. A missing email does not mean transmission failed. Use My faxes for sent orders or Inbox for received documents. Do not pay for a second copy just to test an email delay.
Which email is missing?
Verification and password reset codes
Check the email address
Use the exact address associated with your RichFax account. A mail app open on a different account or archived PST will not show current messages for that address.
Search all mail folders
Search for RichFax and [email protected] in Inbox, Junk, Spam, archive and any folders created by Spam Reader or local mail rules.
Check the newest code
Codes expire after 15 minutes and work once. Use the newest message you requested. If it has expired, request a new code from RichFax rather than repeating the old one. Repeated requests may be rate limited.
Keep the code private
Enter it only in the RichFax account screen. Do not email your password, code or document to support. If a password-reset address is not registered, the service still shows a generic response to protect account privacy.
Outgoing fax status and delivery reports
Sign in on the website and open My faxes. Refresh the order to check its state. A confirmation of payment is different from confirmation of fax delivery.
- Delivered: the receiving fax system accepted the pages. Download the transmission report; this does not prove a person read the fax.
- Queued or submitting: the fax is still processing. A delayed email is not a reason to create another paid order.
- Needs review: the result requires reconciliation. Do not resend or pay again. Contact support with the order ID.
- Refund pending: check the order for refund progress. Read the failure and full-refund explanation.
For an available report, use Download report to keep a copy. The Email report action can request a copy without sending another fax. Order emails contain the transmission report, not your original uploaded document.
Incoming fax notifications and attachments
Receiving requires a number explicitly linked to your verified email; buying an outgoing fax does not create a receiving number. Open My workspace → Inbox, confirm the assigned number and select Refresh.
- If a completed fax appears, use View PDF or Download PDF and check every page. A missing notification does not prevent authenticated web access.
- If no receiving number is assigned, use the receiving guide. Do not share another person’s or a public test number as your own.
- If nothing arrived, ask the sender for the destination number and transmission result. An automated test service may not send a return fax.
- A RichFax branded notification and a Sinch fallback notification may describe the same fax. Compare the fax ID instead of counting emails.
Mailbox checks that preserve spam protection
Compare webmail and your mail app
If webmail has the message but Outlook does not, check the selected mailbox, folder sync, local rules and archives. If your mailbox is full, make space using your provider’s normal controls.
Review filtering and attachments
Inspect Junk and local spam-filter folders. Move only a message you recognize back to Inbox. If appropriate, approve the exact sender [email protected]; do not disable all spam or attachment protection.
Download privately from RichFax
If PDF attachments are blocked, use the authenticated Inbox or report download rather than forwarding the document through another mailbox.
What email delivery records can prove
An SMTP acceptance or SES Send event means a sending request was accepted; it does not establish Inbox arrival. A Delivery event shows delivery to the receiving mail server, which can still apply filtering or mail rules. Bounce and delivery-delay records help support diagnose the next step. These event meanings are documented by Amazon SES.
What to send support
Contact [email protected] with the account email, whether this is a verification code, outgoing report or incoming notice, the fax/order ID if available, approximate time and time zone, and which mail application or webmail you checked. Do not include a password, verification code, payment card details or the fax contents.
