RICHFAX / DELIVERY REPORTS

Know what your fax report confirms.

A payment receipt confirms a payment. A transmission report records the fax result. Use both when you need to understand what happened.

Find and save your report

  1. Open your account’s orders

Sign in to RichFax, then open My workspace → My faxes. Search by recipient, fax number or order reference; combine the status and date filters if useful. Search covers the account’s latest 100 orders.

  2. Read the current status

Payment confirmed, Submitting fax and Fax queued are still in progress. They do not establish delivery. My faxes reloads saved order progress about every 30 seconds while this view is open, visible and online, for up to 10 minutes. The last-update time shows when RichFax records were read; it is not a new provider confirmation. Updates pause when you leave the view and stop after completion or repeated connection errors. Use Reload list to read the latest saved record, or Check status when offered to request a provider status check. Keep the same order reference and avoid another paid send while the result is uncertain.

  3. Download the report

When Download report is available, save its PDF. Reports can also be available for Needs review or a refund state; the presence of a report alone does not mean successful delivery. Open the report and read its recorded events.

  4. Keep an email copy if needed

For eligible live orders, Email report sends a report to your account email. This action does not resend the fax or take another payment. If an email is missing, the website report remains the place to check: follow the email troubleshooting guide.

Delivered means the receiving fax service confirmed every transmitted page. It does not prove that a person read the document, accepted its contents or completed an application. Verify the destination and contact the recipient when you need that confirmation.

Read the fields together

On small screens, swipe across the table to read every column.

Report fieldWhat it tells you
Order and destinationIdentify the RichFax order and number used. Check these against your intended recipient.
Live or sandbox modeSandbox records are tests; they do not establish delivery to a real recipient.
Document / cover pagesThe prepared document count and optional cover count. A free cover is still a transmitted page.
Verified event and pages acceptedThe result RichFax verified and its confirmed transmitted count when available. An uncertain or incomplete result must not be treated as delivery of the complete document.
Confirmed time (UTC)When RichFax verified the event. A separate provider time, when available, is the gateway’s completion time; these can differ.
Gateway jobThe provider reference, when recorded. Include the RichFax order reference when asking support to investigate.
PaymentThe recorded paid total and tax, when available. “Not recorded” means this report lacks the total; it is not an instruction to pay again.

A refund and a delivery result are different events

Read the event history instead of relying only on the current status. A refund can follow a confirmed failure or an authorized validation refund. It cannot recall a fax that was already delivered. A bank’s refund posting may also occur after the payment provider confirms completion.

On confirmed provider failure, RichFax initiates a full refund including applicable tax. An ambiguous result is held for review and is not automatically resent. See the failure and refund guide for the next steps.

No report or result yet?

  • Prepared or checkout pending: payment and transmission are not both confirmed. If you believe you paid, check that existing order before trying another checkout.
  • Submitting or queued: follow the existing order. Do not send a duplicate just because a notification has not arrived.
  • Needs review: retain the reference and contact support before resending or paying again.
  • Missing older order: search is limited to recent records. Keep your downloaded report and payment receipt; account-data export can help identify older metadata.

Follow up without sharing the document again

Ask the receiving office whether it received and processed your fax, using its verified contact details. Give the approximate transmission time and an appropriate reference. For RichFax support, use [email protected] and the order reference; avoid attaching sensitive documents unless support specifically needs them through an appropriate channel.

Keep the report with your own records. It contains destination and transaction metadata, so consider who can access your downloaded or emailed copies. Read the security and privacy guide.
